Senior Merchandiser / Merchandiser - Apparel Accessories and Equipment

General Purpose of the Job

1) Responsible for sourcing of product samples and prototypes from vendors to meet Brand(s) requirements:

  • Liaising between Brand HQ and Vendors to source samples as required by Brand HQ
  • Product quality assurance
  • price &/or terms negotiation

2) Follow up on Vendor’s adherence to scheduled timeline for the production of prototypes & samples to ensure the required/agreed timeline for Brand HQ meetings can be met

Key Responsibility Areas

Key focus product area: Accessories and Equipment (Functional Bags)

1. Support sourcing of samples to assist Brand HQ’s product development process:

a. work in close cooperation with buyers, designers and pattern makers during all steps of the sourcing of product samples and prototypes.
b. Responsible for assisting suppliers prepare samples required by Brand HQ for proto/selling/counter based on style setup, as well as monitor that the samples are sent to the buyer in time for fittings and meetings.
c. Based on style setup, give input to the buyer on how the style could be constructed in order to get the best possible product and price
d. Check and comment all samples (proto/counter/production) including input comments into the business system, to secure that style setup and possible changes have been followed. This includes:
i. Take measurements of samples.
ii. Check allover appearance.
iii. Compare style details with setup.
iv. Comment on making and styling
e. Style follow-up with supplier. This includes going through the buyer’s comments on samples with the supplier as well as explaining any changes and come to an understanding with the supplier on how to make the style.
f. Follow up the photo sample status

2. Price and Terms Negotiation

a. Collect all prices and cost breakdowns from the suppliers in time before product meetings.
b. Keep record of previous seasons’ products’ costs on fabrics, trims and CM.
c. Analyze and question all prices received from suppliers before sending this to the buyer.
d. Check the price cost breakdown as well as material consumption to the FOB.
e. Negotiate prices on all styles based on targets and input from buyer

3. Quality Assurance: Responsible for quality assurance of the products to make sure that the style meets brand’s standards and quality level requirement. This includes:

a. Review quality of samples & assist in discussions between buyer and factory concerning the workmanship of samples
b. Approval of production sample before production starts.
c. Approval of QC-file including all trims and bulk fabrics before production starts.
d. Follow up previous quality problems on similar products.
e. Actively participate in quality meetings for running risk assessment of collection styles
f. Wash and test samples in-house in accordance with brand’s Quality Assurance Manual & Policy.
g. Negotiate with the supplier in any claims relating to quality

4. Order Schedule Planning & MOQ Tracking

a. Confirm delivery dates with suppliers that best fit relevant parties’ requirement/expectation
b. Responsible for collecting the production info such as lead time, production minimums, as well as to channel relevant info to relevant parties (e.g. fabric lead time & MOQ with Material team).
c. Calculate & plan the order schedule according to required delivery capsule from HQ. Prepare & alert for the early buy schedule if need
d. Negotiate the order quantities with suppliers that best fit company interest (to avoid upcharges and leftover fabrics)
e. Update relevant biz system &/or counterpart for the collection styles details, such as supplier, ship mode, prices, MOQ, Early Buy dates, etc.

5. Prepare and submit regular and ad hoc reports as per manager requirement

6. Any other reasonable work assigned by Manager or above

Requirements:

  • Diploma/Degree from relevant study, e.g., textile studies
  • At least 5 year working experience in the Accessories & Equipment industry and relevant experience
  • Strong product knowledge
  • Knowledge about production within the Accessories & Equipment industry
  • Strong communication and negotiation skill (especially dealing with buyers & vendors)
  • Fluent in spoken and written English; Good Mandarin
  • Proficient computer skill in MS office (World, Excel, Power Point) and Outlook
  • Good interpersonal skill, team player, detail-minded
  • Pricing & Negotiation skill
  • Well organized and able to work Multi-task
  • Occasional travel is required
  • Immediate available is highly preferred
