Senior System Project Coordinator

The role:

  • Act as the primary coordination point of Real Time Systems / Fare Collection System with internal departments, the Government and vendors

  • Collect, consolidate, and document business requirements and communicate them clearly to vendors

  • Coordinate technical prerequisites internally, including network/connectivity for on‑bus devices and data interfaces with existing backend systems and on-bus equipment

  • Review vendor documents (e.g. requirement specifications, functional design, etc.) for completeness and alignment with business needs, raising clarification questions where needed

  • Coordinate and schedule project meetings, workshops, and review sessions; prepare action item lists, and follow-ups

  • Support UAT, define acceptance criteria, organize test runs, record defects, and follow up with vendors

  • Support pilot and rollout planning from a coordination perspective, communication internally with different stakeholders

  • Support the transition to business‑as‑usual by documenting processes, known issues, and enhancement requests, and helping define basic KPIs

  • Monitor project status against timeline and milestones, prepare regular status updates and highlighting risks and issues

  • Define and track basic post-go-live issues and enhancement requests, facilitating smooth handover from project mode to BAU support

  • Support basic data quality checks (e.g. spot checks of ETA accuracy, route configuration correctness) by coordinating with operations teams and reporting findings to the vendor and IT


Skills and attributes:

  • Degree in Information Technology, Computer Science, Information Systems or related disciplines

  • Minimum 5 years of experience in IT project coordination, business analysis, or system implementation support, preferably involving third‑party/vendor solutions

  • Good understanding of general IT concepts, systems integration, APIs/web services, basic networking, data flows, and information security (especially for payment data)

  • Good analytical and problem-solving mindset, focusing on clarifying issues and facilitating solutions

  • Ability to understand and interpret functional specifications, interface descriptions, file formats, and reporting requirements

  • Ability to translate operational comments from front-line staff into structured feedback and requirements for the vendor and technical team

  • Ability to prepare concise summaries, meeting notes, and status reports

  • Strong written and verbal communication skills

  • Comfortable working with both technical and non-technical staff and external vendors

  • Organized, detail-oriented, and able to track multiple issues, deadlines, and follow-ups simultaneously

  • Understanding of bus operations (e.g. fare structures, routes, control centre activities) is preferred
