Assistant Officer (Social & Elderly Wellness)- Hunghom [Ref: BP-AO(SEW)]

The Job

  • Assist in updating working manuals and guidelines as prescribed by the supervisor.
  • Draft simple correspondence and quotations; compile reports and email etc. as assigned by the supervisors.
  • Prepare monthly statements, generate reports (e.g. arrears reports) from system for checking / matching records according to pre-determined schedule or supervisors’ instruction.  
  • Settle the payments on time and make sure the payments (e.g. invoice and refund, etc.) are accurate.
  • Follow up with vendors for order; procure office equipment, stationeries etc. as directed by supervisors.
  • Perform other clerical duties, such as housekeeping of records (e.g. inventories / fixed asset record, etc.), filing, cash box book-keeper etc.
  • Explain relevant policies and procedures independently upon enquiries. For emergency and complicated cases, diligently refer cases to other teams / supervisors with detail information.
  • Assist in system input (e.g. budgeting, purchase requisition, purchase approval, insurance claim, etc.) as assigned by supervisor.
  • Assist in contract management issues such as monitoring the expiry dates of the contracts and alerting relevant parties.
  • Assist in tenancy management issues such as updating the tenancy records in systems / preparing documents for commencement and termination of tenancies / monitoring defects rectification progress after commencement of tenancy or flat refurbishment.
  • Deliver quality customer services by providing accurate and precise information to tenants and prospective tenants.
  • Deal with internal and external working partners to solve possible problems and propose areas for improvement to ensure the administrative effectiveness of the estate.
  • Provide support to any ad-hoc tasks assigned by the supervisors.

The Person

  • Higher Diploma or above. 5 passes in HKCEE including English and Chinese, or equivalent. 5 subjects in HKDSE attaining level 2 in English Language & Chinese Language.
  • Minimum 3 years post qualification working experience in recognized welfare organization; elderly or family services preferable.
  • Proficiency in English and Chinese.
  • Good PC knowledge in Word Processing, Excel, PowerPoint.
  • Strong interpersonal and negotiation skills.
  • Good team player.
  • Able to work independently and multitasking.
  • Self-motivated and committed to serve the elderly; caring attitude.
  • Attentive to details, systematic, self-initiative and willing to follow through tasks independently
  • Able to work under tight schedule.
