Personal Assistant to CEO (Accounts)

Job Description

We are seeking a proactive Executive Assistant with accounting experience to provide high-level administrative and financial support to the CEO. This role combines organizational excellence with foundational accounting skills to manage the CEO’s corporate and personal financial documentation, company secretarial tasks, and day-to-day operations.

Key responsibilities:

  1. Executive Support to the CEO

    • Manage the CEO’s calendar, appointments, and correspondence, prioritizing tasks efficiently.

    • Handle confidential financial documents, including invoices, expense reports, bank reconciliations, and personal company filings.

    • Draft and proofread emails, presentations, and reports for internal and external stakeholders.

  2. Basic Accounting & Financial Tasks

    • Process accounts payable/receivable, track budgets, and prepare simple financial summaries for review.

    • Assist with month-end closing tasks, expense reconciliation, and tax filing preparation.

    • Maintain organized records for corporate and personal financial matters.

  3. Company Secretarial Support

    • Coordinate statutory filings, annual returns, and compliance deadlines.

    • Prepare agendas, minutes, and documentation for board/shareholder meetings.

    • Liaise with external auditors, tax advisors, and company secretarial service providers.

  4. Operational Coordination

    • Act as a bridge between the CEO and internal departments (finance, legal) to ensure smooth workflows.

    • Assist with ad hoc projects, event planning, and travel arrangements as needed.

Role requirements:

  1. Experience & Qualifications

    • Diploma or degree in Business Administration, Accounting, or related fields.

    • 3+ years of combined experience in executive assistance, basic accounting tasks, and office administration.

    • Familiarity with bookkeeping, financial documentation, and HK company secretarial processes.

  2. Technical Skills

    • Proficiency in Microsoft Office (Excel, Word, PowerPoint) .

    • Ability to interpret financial reports and manage spreadsheets for budgeting/expense tracking.

  3. Key Competencies

    • Discretion and professionalism in handling sensitive financial and personal matters.

    • Strong organizational skills with meticulous attention to detail.

    • Excellent communication in English and Cantonese; ability to simplify financial jargon for non-experts.

    • Adaptable multitasker who thrives in a fast-paced, independent environment.

  4. Personality Traits

    • Proactive problem-solver with a "no task too small" attitude.

    • Trustworthy, resourceful, and able to anticipate the CEO’s needs.
