Executive Assistant

Job Duties:

  • Provide full spectrum of support to three executives on both regional and local bases
  • Proactively and efficiently managing and facilitating the executives’ schedule to prioritize events
  • Ensure the schedule is update with respect to time zone or availability to avoid any conflicts or overlaps
  • Oversee daily operations of the executives’ office to ensure seamless functionality
  • Provide comprehensive administrative support, including but not limited to travel and accommodation arrangement, itineraries and logistics coordination and documentation preparation
  • Manage and prioritize incoming message to ensure timely and accurate communication
  • Build relationships with internal and external stakeholders
  • Act as a point of contact for the executives’ office to liaise with internal and external stakeholders while maintain discretion and confidentiality in respect of sensitive information and matters
  • As required, plan and manage events on the request of executives
  • Ad-hoc tasks as assigned

Job Requirements:

  • Bachelor or Diploma qualification in secretary studies or relevant disciplines
  • At least 7 years of relevant experience
  • Able to work under pressure
  • Able to be proactively identify and anticipate future requirements of executives
  • Able to manage events and functions as required
  • Experience working in a multi national company
  • Flexibility to support executives across multiple time zones
  • Strong attention to details
  • Strong communication skills in both written and spoken English & Chinese
