Job Responsibilities:
Administrative and Secretarial Duties
- Provide high quality daily secretarial support to the Department Retail Business & Partnership department including management of the Department Heads executive calendar, handling telephone calls, schedule appointments and routing correspondence, handling confidential documents such as reports and Board papers and conduct research as assigned.
- In charge of the Departments’ administrative operations including but not limited to: meeting arrangements, coordination of documents approval sign-off, handling travel related matters, organize and maintain filing systems, manage Dept stationaries and inventories, assisting the preparation of presentation materials, database management, interdepartmental coordination, manage departmental assets and facilities, and other administrative works assigned by the Department Heads.
Assist Department Heads to manage and coordinate departmental projects
- Assist the department to gate keep and ensure departmental projects are orderly managed and follow-through.
- Handle procurement and PR/PO arrangements and monitor budget spending for two departments
- Provide timely and proactively project progress update to the Department Head respectively.
- Agency or vendor management and negotiation for projects assigned by the Department Heads.

- Any other tasks assigned by supervisors
Job Requirements:
- Bachelor’s Degree in any business disciplines
- At least 8 years relevant full time working experience
- Experience as executive secretary in serving senior management is mandatory
- Strong PC skills in Excel, spread sheet, PowerPoint and English & Chinese Processing are a must
- Good coordination, organisation and communication skills
- Good command of written & spoken English and Chinese, Mandarin a plus
- Work proactively with initiative yet require minimal supervision
- Independent, adaptable, and skilled at managing changes
