Assistant Officer (Ref. 250124010-IE)

The Faculty is seeking a dedicated and detail-oriented individual for a dynamic role supporting our academic community and stakeholders. The successful candidate will engage with multiple units to facilitate human resources initiatives and promote the Faculty's scholarly activities through effective communication and publication efforts. Exceptional proficiency in both English and Chinese is required. This position is ideal for those looking to advance their careers in academic administration while making a meaningful impact within the university community.

Duties

The appointee will be required to:

(a)  support the Faculty and its constituent Departments on Human Resources matters and staffing exercises, including but not limited to University Strategic Hiring Schemes and Faculty Staff Awards;

(b)  assist in publication matters of the Faculty Office, including content creation for the monthly Faculty e­bulletin and various social media platforms, as well as editorial work for the "Construction and Environment Magazine";

(c)  assist in the planning and coordination scholarly activities of the Faculty, including annual Congregation and public lectures / seminars, etc.;

(d)  provide logistical and secretarial support to committees and meetings, including preparation of meeting documents;

(e)  assist the Faculty Secretary in office administration and operation, including but not limited to coordination of assorted ad hoc exercises and maintenance of the Faculty's database, etc.;

(f)   liaise with the University's internal units, external stakeholders of the Faculty, and handle general enquiries; and

(g)  perform any other duties as assigned by the Dean of Faculty, Faculty Secretary or their delegates.

Qualifications

Applicants should:

(a)  have a recognised degree with at least two years of relevant post-qualification work experience;

(b)  have an excellent command of both written and spoken English and Chinese, with fluency in Putonghua being an advantage;

(c)  have good communication, interpersonal, analytical, problem-solving and organisational skills; 

(d)  be able to work independently while managing sensitive matters with discretion and prudence;

(e)  be well-organised and detail-oriented;

(f)   have good computer literacy, with proficiency in Microsoft Word, Excel, PowerPoint and Chinese word processing; and

(g)  have strong self-motivation, with the ability to balance multiple priorities and work independently. 

Candidates with less relevant experience will also be considered.  Shortlisted candidates will be invited to sit for a written test.

Conditions of Service

A highly competitive remuneration package will be offered.  Initial appointment will be on a fixed-term gratuity-bearing contract.  Re-engagement thereafter is subject to mutual agreement.
