Administration Associate / Office Clerk

We are looking for an Administration Associate / Office Clerk to provide the administration support to Hong Kong office and is part of the operations team:

Job Responsibilities

  • Assistant to secretary team (handle monthly expenses report, enquiries with vendor, expense claims, file business cards, catering arrangement for meetings and meeting arrangement etc) 
  • Printing and binding of files for project requests.  Familiar with printers, binding machine and paper cutter to deliver high quality of printing, copying, scanning, cutting and binding
  • Remind IT/vendor of the maintenance for the facilities (printers, binding machine and paper cutter) in printing rooms 
  • Coordinate the supplement of paper, covers inks and other accessories which are necessary in printing rooms 
  • Coordinate with concierge and secretary team in meeting room setup
  • Coordinate with cleaning ladies to keep a clean and tidy environment in printing room 
  • Handle monthly payment with expense allocation to case code 
  • Shred the discarded paper timely to well protect the confidentiality of files 
  • Handle ad hoc stationery order requested by users 
  • Handle all special and urgent delivery requests by the secretary team 

Job Requirements

  • Diploma and/or above business or related disciplines 
  • Minimum 3 years of administrative support or customer service experience in a fast paced environment 
  • Proficient computer skills: MS Word, Excel, PowerPoint, Outlook and Internet Explorer; willingness to learn new systems that are relevant to the needs of the operation
  • Hospitality experience preferred.  If no direct experience, an importance towards and demonstration of anticipating needs and providing efficient and flawless service 
  • Self-motivated and independent, team work oriented 
  • Good command in written and spoken English, Mandarin and Cantonese
