Personal Assistant / Executive Assistant to CEO (4 Openings)

Job Description:

Conserves CEO's time and promotes the corporate image by representing the CEO internally and externally, providing liaison between the CEO, key executives, and employees. This position is often privy to confidential information and requires diplomacy and discretion.

Job Responsibilities:

  • Represents the CEO by meeting investors, business partners, important customers; arranging corporate meetings, business meetings & corporate functions; must be able to serve CEO 24/7.
  • Publishes corporate presentation by gathering global information; preparing and editing corporate, marketing and confidential articles; designing graphic presentation; must with rich and professional experience in both Apple iWorks (MAC) and PPT/Excel (WINDOWS).
  • Helps key executives to make consistent decisions by advising them of historical precedents, serving as liaison and act as a communication link between them and the CEO.
  • Completes projects and special assignments on time by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; possessing problem-prevention and problem-solving skills; making adjustment to business plans.
  • Improves quality results by studying, evaluating, and re-designing processes; implementing changes to improve operation efficiency & productivity within the Company’s Operational Flows.
  • Enhances CEO's and corporation's reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
  • Knowledge of International Sales, Digital Marketing, Manufacturing Operations, Legal, Finance, HR, M&A, IPO procedure and process would be an advantage, with high integrity & confidentiality, must be able to work under pressure with CEO closely.
  • Assist the CEO in all personal matters/business development activities, project management, sales & marketing, joint-ventures, regional projects, etc. in Europe, Middle East, USA, APAC, and China 24/7.
  • Assist the CEO in Customer Presentations, Customer Negotiations, Speeches, Conferences, Seminars, etc. across the globe, and willing to travel with the CEO on the spot.
  • Analyze business and management reports and provide recommendation to the CEO; detailed minded, observative, self-motivated, self-initiated, effective time management skills.
  • Arranges corporate travel and meetings by developing effective & efficient itineraries and agendas for the CEO; booking other transportation; arranging lodging and meeting accommodations; need to travel with the CEO and be able to look after his whole journey from start to finish and be able to schedule his time and meetings with local VIP contacts effectively across Europe, USA, Middle East and China.
  • Must be fluent in English and Chinese Mandarin, and fluency in other European and/or professional Japanese languages will be a great advantage.

Job Requirements:

  • Must be a degree holder in Law, Finance, Digital Marketing, Business Administrations or related disciplines. Master’s degrees from reputable overseas universities would be preferable.
  • Minimum 10 years of working experience in directly serving Company Owners.
  • Experience in manufacturing companies with global exposures is a must.
  • Excellent command of bother oral and written English and Chinese Mandarin. Other foreign languages such as Arabic, German, Spanish, Italian, Portuguese, French, Russian, and/or Japanese is essential.
  • With solid experience in International Sales & Business Development, Digital Marketing, Distribution Management, Manufacturing Operations, Legal, Corporate Finance, M&A, IPO will be necessary.
  • Efficient, very well organized, self-motivated with strong sense of responsibility.
  • Willing to work flexible hour upon request, good at multi-tasking and detailed oriented.
  • Mature, presentable, outgoing personality, independent, good interpersonal and communication skills.
  • Must with strong analytical skills in big data, sensitive to numbers & good commercial sense.
  • Must be diligent, honest, ethical, well-organized with good attitude and initiative, plus a high level of integrity, strong commitment to job responsibilities and be able to grow with the company.
  • International driving license would be an added advantage.
