Project Administrator

Background and Purpose of the Role:

Responsible for supporting the administration required for delivery of the DOHL contract
Knowledge and Skills Required:

Relevant qualifications and experience the ideal candidate will require

  • High school degree or equivalent
  • Data entry experience or related office experience
  • Good command of oral and written English and Cantonese

Key Accountabilities

Activities / Tasks


  • Identify and contact suppliers for quotations
  • Submit internal purchase request
  • Follow up with suppliers regarding any issues
  • Carry out supplier evaluations
  • Liaise with subcontractors to arrange delivery

Materials Management

  • Maintain accurate record of material quantities ordered and their location
  • Undertake stock take every 6 months
  • Review purchase requests from subcontractors and in-house team against current stock levels to determine if a new order is required
  • Identify fast moving stock and ensure reasonable buffer is maintained for this stock
  • Undertake analysis on POs received from client and service items that require materials to determine trends and when orders for certain types of stock are required
  • Arrange inspection for all tools and equipment that require certification
  • Hold periodic reviews with subcontractors to assess their current stock position

Permit Applications

  • Main point of contact for One Stop Shop
  • Monitor progress of applications and follow up when required
  • Obtain maps from client RE and send to One Stop Shop
  • Liaise with subcontractors to obtain photos as and when required by Government
  • Responsible for monitoring and managing vehicle permit applications and renewals

Contractor Daily Report (CDR)

  • Ensure subcontractors submit CDR document to HPS in a timely fashion
  • Consolidate subcontractor CDRs and send to client by 4pm each day or as and when there are changes applied
  • Record CDR in a master log for safety team analysis

Handover Reports

  • Coordinate and manage the completion of handover reports for in-house OHL team
  • Main point of contact for receiving PO summary from subcontractors
  • Issue PO summary to client in a timely fashion
  • Update master PO summary log


  • Upload POs into PO Management Systems (PMS)
  • Upload handover reports into PMS
  • Update PMS with PWRA details
  • Ensure accuracy of data in the PMS
  • Coordinate systems roll out with subcontractors

General Requirements

  • Take on and/or support ad-hoc projects as and when required
  • Support in-house team as and when required to ensure continued project delivery
  • Write up meeting minutes
  • Support with translating documents
  • Support with internal and external periodic reporting
  • Provide ad-hoc support to other members of the team
  • Responsible for schedule planning of in-house crane lorry and arranging collection and delivery to/from subcontractor and client yards
