The Hong Kong Institute of Architects (HKIA)

Job Position: Chief Operating Officer

Contract Term: 3 years

Key Responsibilities:

Reporting and be responsible to the Council (in particular to the President and the Office Bearers) and all members of HKIA, the COO is the leading administrator of the secretarial and supporting team of the Institute. The duties include but not limited to:

  1. Manage, monitor and responsible for the HKIA Secretariat (currently around 27 staff in Hong Kong and 1 in Beijing) to ensure smooth and efficient daily operation;  

  2. Implement effective work plans for the delivery of various events/programmes within time and budget constraints;

  3. Works collaboratively to develop and/or improve systems, processes, controls and procedures;

  4. Assist Council to ensure and maintain good governance and responsive service to the members;

  5. Assist the Board in determining the long-term strategic direction in close alignment with the Institute’s mission, vision and values;

  6. Maintain good contact with government, business corporations, NGOs, allied professional bodies, media, all other related stakeholders and the general public of the community;

  7. Attend functions and events on behalf of the Institute and perform duties designated by Council and Office Bearers; 

  8. Serve as the Registrar of the Architects Registration Board HKSAR and be responsible for the administrative duties under the Architects Registration Ordinance;

  9. Serve as the Registrar of HKIA and be responsible for the administrative duties under the Operation Manual of the institute;

  10. Provides timely, accurate and complete reports on the operating condition of the Institute;

  11. To act as the legal representative (法人) of Office in Beijing;

  12. Perform any other duties as assigned by Office Bearers and Council from time to time;

  13. COO will report directly to the Council and OB for all matters of HKIA. 


Requirement:

  1. Possess basic knowledge of employment law and legal compliance

  2. Extensive leadership experience in the built environment sector is a plus

  3. Experience in financial and accounting management

  4. Working knowledge of IT/Business infrastructure

  5. Outstanding organizational and leadership abilities

  6. Aptitude in decision-making and problem-solving

  7. Presentable and with excellent communication and interpersonal skills

  8. Experience in government funding and tender process will be a plus

  9. Bachelor degree in business administration or relevant field; or more than 15 years’ working experience at Senior Management level of reputable organization; MBA is a plus
