The Hong Kong Palace Museum (HKPM) is a dedicated museum that showcases the exquisite artefacts from Palace Museum’s collections and collaborates with other museums in research, exhibitions, education and public programmes. The museum comprises 7 800 square metres of gallery space for standing and special exhibitions on Palace Museum’s collections of paintings, calligraphy, antiquities and historical objects, as well as thematic displays on world cultures and civilisations.
(This is a fixed-term contract position of 2-year with possibility for renewal subject to organisational needs and individual performance.)
The Assistant Manager, Museum Retail, will be responsible for supporting the end-to-end product development lifecycle management for HKPM Retail. This includes sourcing, developing, and producing a diverse range of merchandise such as desktop stationery, table-top decorative items, souvenirs, and other cultural products. The ideal candidate will play a role in driving product development aligned with the museum's aesthetic themes, managing reliable supplier partnerships, and overseeing the complete supply chain to ensure timely delivery, cost efficiency, and superior quality.
You will be responsible for:
1. Sourcing & Supplier Management
identifying, evaluating, and onboarding reliable suppliers and vendors for materials, components, packaging and finished goods;
negotiating costing, minimum order quantities (MOQs), payment terms, and lead times to achieve optimal value;
maintaining and strengthening supplier relationships, ensuring adherence to ethical, sustainable, and quality standards;
conducting regular supplier performance reviews and capability assessments to ensure continuous improvement;
2. Product Development & Merchandising
acting as the key liaison between the HKPM retail team, external design agencies, and suppliers to develop museum exhibitions and culturally relevant product lines such as fashion accessories, stationery, toys and games, souvenirs, and home décor;
preparing comprehensive technical packages, manage sample requests, and overseeing the sampling process from concept to final approval, ensuring design integrity is maintained with HKPM brand vision and mission;
coordinating and finalizing artwork, packaging, and labeling in line with cultural, regional, and brand requirements;
3. Supply Chain Coordination, Quality Assurance & Compliance
managing the end-to-end supply chain from sourcing through production to final delivery;
proactively tracking order status and production timelines to ensure on-time shipment;
collaborating closely with logistics and warehouse teams to optimize inventory flow and distribution;
implementing robust quality control protocols and coordinating pre-shipment inspections;
ensuring all products comply with relevant regulatory, safety, and cultural standards;
anticipating potential supply chain risks and developing effective mitigation strategies; and
performing any other duties from time to time as reasonably assigned by HKPM.
You should:
a recognized university degree in any discipline;
have minimum of 5 years of relevant experience in retail merchandising or product development, with specialised experience in toys, gifts, and premium products;
be proficient in computer applications, including MS Office (advanced Excel and PowerPoint skills are essential);
be proficient in both written and verbal English and Chinese; knowledge of Putonghua is a strong advantage;
have a genuine passion for cultural arts, crafts, and heritage-inspired products;
be a strategic thinker with strong analytical, negotiation, and problem-solving skills;
be a collaborative team player with leadership potential and the ability to work effectively across departments; and
be adaptable, detail-oriented, and sensitive to diverse cultural contexts in product creation.
