Contract Support - Facilities Management (Client facing + Business Support)

Job Responsibilities
 

Business Development

  • Support business growth initiatives by identifying new opportunities and maintaining a healthy sales pipeline.

  • Assist in the preparation of proposals, quotations, tender submissions, and client presentations.

  • Conduct market research and competitor analysis to support strategic decision-making.

  • Collaborate with operations and account teams to identify value-added service opportunities.

Client Relationship Management

  • Build and maintain strong relationships with clients to ensure high levels of customer satisfaction.

  • Act as a key point of contact for client inquiries, requests, and service-related issues.

  • Monitor service delivery performance and proactively address client concerns.

  • Support client meetings, business reviews, and contract renewal discussions.

Contract Review and Management

  • Review contracts, amendments, service agreements, and commercial terms to ensure compliance and accuracy.

  • Track contract milestones, renewal dates, key deliverables, and contractual obligations.

  • Coordinate with internal stakeholders to ensure contract requirements are effectively implemented.

  • Maintain contract documentation and ensure proper filing and record management.

Reporting and Administrative Management

  • Prepare regular operational, financial, and management reports with accuracy and timeliness.

  • Maintain project trackers, contract registers, and performance dashboards.

  • Coordinate meetings, prepare minutes, and follow up on action items.

  • Ensure documentation complies with company policies and audit requirements.

Data Analysis and Performance Monitoring

  • Analyze operational and financial data to identify trends, risks, and improvement opportunities.

  • Develop and maintain KPI and SLA performance reports.

  • Utilize Excel, Power BI, and other reporting tools to generate business insights.

  • Support budgeting, forecasting, and variance analysis activities.

Onsite Operational Support

  • Provide support to site operations teams to ensure service excellence.

  • Coordinate with vendors, contractors, and internal departments to resolve operational issues.

  • Monitor site compliance with health, safety, and operational standards.

  • Support mobilization, transition, and continuous improvement initiatives.



Qualifications and Requirements
 

  • Microsoft Office Suite (Advanced Excel, PowerPoint, Word, Outlook)

  • Document Control and Records Management

  • Procurement and Vendor Management

  • KPI and SLA Monitoring

  • Strong stakeholder management and interpersonal skills

  • Excellent written and verbal communication

  • Analytical and problem-solving abilities
